From the First Conversation to Final Handover

Ten stages. Each one explained from Stones Jordan's perspective, the client's perspective, and the contractor's perspective — with documents produced and common risks at each stage.

Three phases. Ten stages. One clear result.

Understand & Design. We begin by understanding your brief, assessing the property, defining scope, and developing the design — from concept and layout through to full technical documentation ready for contractors.

Coordinate & Procure. We clarify drawings with contractors, review quotations, verify material availability, approve samples, and coordinate procurement — so long-lead items are identified and resolved before construction begins.

Supervise & Hand Over. Scheduled site visits, written reports with photos after every visit, issue logs, and a final inspection before handover. You receive the space as designed — not as interpreted.

Initial Conversation. We begin by understanding your project type, property location and stage, desired scope, budget expectations, timeline, and main concerns. The goal is to determine whether the project is a good fit before anything is committed. Stones Jordan®: Initial direction, service recommendation, and consultation format., Client: Provide project information and key priorities., Documents produced: Consultation summary, initial information request., Common risk: Unclear scope leads to mismatched expectations.

Property and Needs Assessment. We visit the property, review existing conditions, take measurements, and assess natural light, movement, and functional needs. We ask about your daily life or business requirements so the design serves how the space is actually used. Stones Jordan®: Site visit, condition assessment, measurement verification., Client: Property access and documentation of known conditions., Documents produced: Site notes, photograph records, measurement report., Common risk: Undisclosed existing conditions affect scope and cost.

Scope Definition. We define which spaces are included, what services will be delivered, what the project responsibilities are, what supervision level is agreed, and what is explicitly excluded. A clear scope protects both parties. Stones Jordan®: Proposal preparation with defined deliverables and responsibilities., Client: Review and approve the proposed scope., Documents produced: Project proposal, scope agreement., Common risk: Ambiguous scope leads to disputes during execution.

Concept and Layout. We develop the design direction — space planning, circulation, furniture positioning, functional zoning, and an initial sense of materials, mood, and visual language. This is where the project's character begins to take shape. Stones Jordan®: Concept presentation with layout options., Client: Review presentation and provide structured feedback., Documents produced: Concept boards, layout drawings, feedback record., Common risk: Undefined preferences delay design development.

Design Development. We develop detailed design for every element agreed in scope — lighting plans, ceiling treatments, joinery, kitchens, bathrooms, wall finishes, flooring, landscape elements, furniture, and styling. Each decision is made with execution in mind. Stones Jordan®: Full design development across all agreed elements., Client: Material sample reviews and interim approvals., Documents produced: Design development drawings, material palette, decision log., Common risk: Late changes to finalized elements add cost and time.

Visualization and Approval. We produce 3D visualizations, material boards, and layout drawings to communicate the design clearly. The client reviews, provides feedback, and formally approves the design before it is frozen for technical documentation. A rendering communicates intent — it is not the complete construction document. Stones Jordan®: Renderings, material boards, revision rounds, design freeze., Client: Formal written design approval., Documents produced: Approved rendering set, material schedule, design-freeze confirmation., Common risk: Approval without understanding leads to site-stage disputes.

Technical Documentation. We prepare contractor-ready drawings: dimensions, material schedules, joinery details, lighting layouts, electrical coordination, finish specifications, and landscape plans. These documents allow the contractor to build with reduced ambiguity. Stones Jordan®: Full technical drawing set for contractor use., Client: Review and confirm final documentation., Documents produced: Technical drawing set, specifications schedule., Common risk: Incomplete drawings cause contractor interpretation errors.

Contractor and Material Coordination. Where included in scope, we clarify drawings with contractors, review quotations, verify material availability, approve samples, coordinate procurement, and plan sequencing. Long-lead items are identified early. Stones Jordan®: Drawing clarifications, quotation review, sample approvals, procurement coordination., Client: Approve materials and contractor selection where applicable., Documents produced: Sample approval records, material schedule, procurement plan., Common risk: Late material decisions create site delays.

Site Supervision. According to the agreed scope, we conduct scheduled site visits, observe quality, check drawing compliance, verify materials on arrival, document progress, log issues, coordinate contractors, record decisions, and where included, observe payment stages. Stones Jordan®: Scheduled site visits, quality observations, progress reports, issue logs., Client: Review progress updates and approve critical decisions., Documents produced: Site visit reports, progress photographs, issue log, decision record., Common risk: Undetected deviations from the design are harder to correct later.

Completion and Handover. We conduct a final inspection, document incomplete or defective items, support corrections, and where included in scope, assist with styling, cleaning coordination, and formal handover. Documentation is organized before the project closes. Stones Jordan®: Final inspection, snagging list, correction verification, handover., Client: Final walkthrough and handover acceptance., Documents produced: Final inspection report, snag list, handover confirmation, aftercare scope., Common risk: Skipping final inspection leaves defects unresolved.
